Your mandate will consist in...

Your mandate will consist of being responsible for overseeing the plan administration analysts and the implementation analysts and working closely with the Assistant Director, Implementation. In addition, you will help establish the processes, tools, and best practices required to ensure an optimal client experience throughout the entire client lifecycle. Your main tasks will include:

Team Management

  • Directly supervise a team of analysts, a coordinator, and a specialist;
  • Establish annual performance objectives for team members, conduct regular performance reviews, and implement development and coaching plans;
  • Support analysts in managing more complex client files;
  • Provide direct guidance to employees in resolving challenging situations.

Department Development

  • Actively collaborate in refining the department’s structure, roles, and responsibilities;
  • Develop, enhance, and implement processes, procedures, and tools to ensure the efficiency and quality of contact amendments, renewals, and cancellations;
  • Align work practices primarily with the Assistant Director, Implementation, as well as with other internal teams (AGA +PLUS, Consulting and services, Underwriting, etc.);
  • Participate in organizing and continuously improving monthly team meetings.

Quality, Compliance, and Client Experience

  • Ensure quality, compliance, and timely delivery of work;
  • Define, implement, and monitor key performance indicators (KPIs) relevant to the department;
  • Support the development of tools and processes related to training provided to plan sponsors to ensure a positive client experience from the moment of enrolment;
  • Represent the department in cross-functional projects and internal committees;

Training and Employee Development

  • Participate in the development and follow-up of onboarding programs for new team members;
  • Contribute to the ongoing training of employees on processes, procedures, and tools;
  • Collaborate with the Training and Documentation team to design, implement, and monitor learning initiatives aligned with the organization’s strategic objectives;
  • Participate in succession planning for key positions within the team;

Collaboration and Continuous Improvement

  • Maintain up-to-date work documentation to reflect insurer and provider requirements;
  • Ensure information is consistently organized and easily accessible across internal platforms;
  • Identify and implement continuous improvement initiatives to optimize operational efficiency and enhance client satisfaction;

Other Responsibilities 

  • Participate in recruiting team members, in collaboration with Human Resources;
  • Perform any other related duties as assigned by the Director.

Required Qualifications:

  • University or college degree in Business Administration, Management, or a related field;
  • Minimum of 5 to 8 years of relevant experience, including demonstrated experience in personnel management;
  • Experience in group insurance or the financial services industry (a strong asset);
  • Knowledge of client experience best practices;
  • Strong proficiency in Microsoft 365 Suite;
  • Excellent written and verbal communication skills in both English and French (Proficiency in English is required, as administrative transactions must be processed in both languages. A detailed analysis and thorough understanding of contractual administrative information related to insurance enrollments and changes—free of errors—are also essential);
  • Strong organizational, prioritization, and multi-project management skills;
  • Demonstrated leadership, autonomy, adaptability, and the ability to positively influence others;
  • Strong coaching and facilitation skills, with a genuine interest in employee development;
  • High level of professionalism, integrity, and discretion regarding confidential information.
